Below you will find an overview of important formalities that you should definitely complete before departure.

Confirmation of Study Period
The majority of exchange students (especially students on the ERASMUS+ programme) require various confirmations for their home university:
- Confirmation of arrival
- Confirmation of departure or confirmation of the duration of the stay
Most students receive the relevant forms from their home university. These must be signed by the International Office of the UR shortly before departure or upon departure. Please note that confirmations of departure or confirmation of study abroad may be issued no more than 3-4 working days before the actual departure date. If you have not received a form from your home university, you can have such a confirmation issued by the International Office of the University of Regensburg.

Transcripts of Records
Your grades must be communicated to us in writing by the lecturers. This is done by e-mail or with a written certificate - a so-called Schein. Your grade and the number of credit points are entered on this certificate. If you receive the certificates directly from the lecturers, please hand in a copy of the original certificate to the International Office before you leave. If your certificates have not yet been issued at the time of your departure, please explicitly inform the lecturers that the certificates must be sent to the International Office.
Please note: Exchange students do not have access to FlexNow, the UR's examination management system. This system is reserved for students who are studying for a degree at the UR.

Deregistration of Residence with the City of Regensburg
Before leaving Regensburg, you must deregister your place of residence with the City of Regensburg. The International Office will send you detailed information on deregistration and the relevant authorities a few weeks before your departure.

Deregistration from the Broadcasting Licence fee
You should only deregister from the boadcasting licence fee once you have deregistered your place of residence with the city of Regensburg, as you must upload the city's deregistration confirmation as proof in the online deregistration form. Please make absolutely sure that you have settled all outstanding payments before you leave.

Cancellation of Health Insurance Membership
If you have taken out statutory or private health insurance in Germany, you must cancel it in good time before your departure. Please contact your insurance company directly and observe the information and deadlines in your insurance contract.

Cancellation of the Deutschlandticket
If you have subscribed to the Deutschlandticket for students, please do not forget to cancel it by the 10th of the month of departure. Please also make sure that you have settled all payments for the Deutschlandticket.

Moving out of the Student Residence
Please make an appointment with your caretaker at least 14 days before departure to collect your room and return your room key. It is not possible to move out at the weekend or on public holidays.
The rooms must be clean and tidy. Otherwise the cost of cleaning will be deducted from your deposit. Please also wash the bed linen.
Deposit refunds: please do not be alarmed if it takes up to 12 weeks for the deposit to be refunded to the account you have specified, even if the room has been handed over correctly.

Closing the German Bank Account
If you have opened an account at a local bank in Regensburg, you must close the account at a personal appointment at one of the bank branches before your departure. Please make sure that your account is not in the red and that you have settled all outstanding payments.
